Privacy policy
Last updated 9 October 2026
Colin Dixon trading as Service Broker (ABN 68 758 286 944), "we", respects your privacy. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy explains what we collect, why, and what you can do about it.
1. What we collect
- Contact details: your name, business name, ABN, phone, email and address.
- Copies of your bills and invoices, and the details on them: account numbers, plans, usage, charges and payment history.
- Account and login details you choose to share so we can do the work (we ask you to change passwords afterwards where that makes sense).
- Signed letters of authority.
- Notes of our calls and emails, and our invoices.
- Website chat: your name, the email address or phone number you give us, the page you were on and the chat itself.
- Website use: our website uses Google Analytics, which collects information such as pages visited, device and approximate location, using cookies. It doesn't tell us who you are.
We collect information from you directly, and from providers when you've authorised us to deal with them. You can deal with us without giving your name for general questions, but we can't review your bills anonymously.
2. Why we use it
Only to do the work you've asked for: to review your costs, recommend changes, deal with providers on your behalf (with your authority), set up systems, answer your questions, invoice you and meet our legal obligations, such as keeping tax records. We don't use your bills for anything else, and we don't sell your information or use it for marketing by others.
3. Who we share it with
- A provider (for example your telco, energy retailer, bank or insurer) only when you've authorised us to deal with them, and only what's needed.
- People who help us run the business, such as our email, file storage and accounting services, who must keep it confidential.
- The AI service that Sally, our AI assistant, runs on. Sally helps sort your bills and transactions into your cost review sheet. This service may process your information outside Australia.
- Anyone the law requires us to tell.
Some of these services store data outside Australia. Website analytics data is processed by Google, including in the United States.
4. How we store it and when we delete it
We store your information in password-protected accounts with two-step sign-in, and only Colin Dixon and our AI assistant, Sally, have access. We keep copies of your bills and account details only for the review and the changes you approve, then delete them when the job is done or sooner if you ask. We keep invoices and business records for as long as tax law requires (generally five years).
5. Website chat (Ask Sally)
Ask Sally, the chat on this website, is an AI assistant, not a person. It answers from the public information on this website only. It can't see your documents, emails or accounts, and it can't send anything. A quick security check runs before a chat starts, to stop spam. Before you chat, we ask for your name and an email address or phone number, so Colin can follow up. Your messages are sent to an AI service to answer your question, and that service may process them outside Australia. When the chat ends (you close it, leave the page or stop for 10 minutes), we email one copy of it to Colin, with your name, contact details, the page you were on and the time. That email is sent through Google's Gmail service, which may process it outside Australia. Email addresses, phone, card, account and other long numbers you type in the chat itself are masked first. The chat system keeps the conversation only until that email is sent, then deletes it; the email is kept in our business mailbox like any other enquiry. We only use it to answer your question and follow up, never for marketing by others. Please don't share account numbers, card numbers or passwords in the chat. To reach a person, email help@servicebroker.com.au or book a free 15-minute call.
6. Seeing and correcting your information
You can ask for a copy of the information we hold about you, ask us to correct it, or ask us to delete it (except records we must keep by law). Email help@servicebroker.com.au. We'll respond within 30 days.
7. Complaints
If you're unhappy with how we've handled your information, please tell us first at help@servicebroker.com.au or 0419 415 000. We'll respond within 30 days. If you're not satisfied, you can complain in writing to the Office of the Australian Information Commissioner (OAIC): oaic.gov.au, phone 1300 363 992.
